What an aging report shows
An accounts receivable aging report groups everything customers owe you by how long it has been outstanding. Each row is a customer, and each column is an aging bucket. The total of the report equals your receivables balance.
This report ages invoices from the due date, so the buckets show how late customers are paying. An invoice due tomorrow is current. An invoice due 45 days ago sits in 31–60.
How to read it
- Look at the right-hand columns first. Balances over 60 days are the hardest to collect and the most likely to be written off. Know why each one is still open.
- Check concentration. If one or two customers make up most of the past-due total, a single conversation may matter more than a hundred reminders.
- Compare with last month. One report is a snapshot. Balances moving from 31–60 into 61–90 tell you collections is falling behind, even if the total looks steady.
- Separate “late” from “stuck”. Many old balances are not customers refusing to pay. They are invoices rejected in an AP portal, waiting on an approver, or short-paid with a difference nobody has researched.
Aging summary and aging detail
An aging summary shows one line per customer with a total in each bucket, like the report above. An aging detail lists every open invoice with its due date and days past due. Use the summary to see where the money is, and the detail to work through it invoice by invoice.
Exporting open invoices
- QuickBooks Online: run the A/R Aging Detail report, export it to Excel or CSV, and paste the rows here.
- NetSuite: run the A/R Aging Detail report under Reports > Customers/Receivables and export it as CSV.
- A spreadsheet: any sheet with a customer, an open balance, and a due date or invoice date works. Copy the rows, including the header, and paste.
Subtotal rows such as “Total Acme” and rows with no balance are skipped automatically. Credits with a negative balance reduce the bucket they fall in.
From aging to DSO
The total of this report is the receivables figure in the DSO formula. Divide it by your credit sales for the period and multiply by the days in the period, or use the DSO calculator to see how far past terms your customers pay. For the oldest balances, our payment reminder and collections email templates cover the most common reasons an invoice is stuck.
