AR for manufacturers

Shipped on time.
Paid on time.

Manufacturers sell to large buyers with strict procurement. The invoice that doesn’t get paid is usually stuck in a portal, failing a PO match, or waiting on a chargeback nobody has answered.

Why it gets stuck

The parts shipped. The invoice is stuck in procurement.

01

Failed the three-way match

The customer’s system matches invoice, PO, and receipt. One line’s quantity or price is off, and the invoice holds without anyone telling you.

02

Rejected in the portal

Coupa or Ariba bounced the invoice for a missing PO line or a required field, and the rejection went to an inbox nobody watches.

03

Blanket POs that ran out

The blanket PO was used up mid-quarter, so new invoices have nothing to match against until the buyer issues a new one.

04

Chargebacks and compliance fines

The customer deducts for a late shipment, a labelling error, or a routing-guide violation, and the dispute window closes before anyone checks.

05

Supplier setup paperwork

A new buyer site needs a W-9, banking form, or supplier registration before it will pay, and the request sits unanswered.

06

Long terms, no follow-up

On net-60 or net-90 terms, nobody checks that the invoice was approved until it is already late.

How Alder handles it

Portal and procurement work is customer-facing, so Alder starts read-only. You set the rules once, see what it would do, and approve anything that reaches a customer.

01

Gets invoices into the portal

Alder submits invoices into Coupa, Ariba, and custom customer portals so they enter the buyer’s approval flow.

02

Fixes the match

When an invoice fails on a PO number, line, quantity, or price, Alder finds the cause, fixes it, and resubmits, or asks the buyer for a new PO when the old one has run out.

03

Researches every chargeback

Alder pulls the PO, the shipping records, and the customer’s stated reason, and hands your analyst a recommendation on whether to dispute or accept.

04

Checks before it’s late

On long terms, Alder confirms each invoice is approved well before the due date and follows up with the person who releases payment.

Questions

What is a three-way match?

A three-way match is the check a buyer’s accounts payable team runs before paying a supplier invoice: the invoice must agree with the purchase order and with the receiving record for the goods. If quantity, price, or PO line differ beyond the buyer’s tolerance, the invoice is held until someone corrects it.

Why do manufacturers’ invoices get rejected in Coupa or Ariba?

Common causes are a missing or invalid PO number, line items that don’t match the PO, a quantity or price outside tolerance, a missing required field such as a cost center, and duplicate submissions. Each rejection has to be fixed and resubmitted before the invoice can be approved.

What are chargebacks in manufacturing?

A chargeback is a deduction a customer takes for a compliance failure, such as a late or early shipment, incorrect labelling, a routing-guide violation, or a missing advance ship notice. Many are disputable, but only within the customer’s dispute window and only with the shipping records to back the claim.

Which systems does Alder work with?

Alder connects to NetSuite, SAP, Oracle, Epicor, Microsoft Dynamics 365, Sage, Acumatica, and QuickBooks, and submits invoices into Coupa, SAP Ariba, Jaggaer, and custom customer portals.

Will Alder submit or send anything without approval?

No. You set approval rules once, and anything that touches a customer, including a portal submission, waits for your approval. Every deployment starts read-only.
